Policy Statement: Use of Artificial Intelligence (AI) within the EdEHR Platform

EdEHR Technologies Inc. integrates artificial intelligence (AI) tools in limited, transparent, and ethically responsible ways to enhance the educational value of the platform. Our use of AI follows recognized privacy and data protection principles and reflects EdEHR's commitment to educational integrity.

Purpose

EdEHR's AI features support teaching and learning outcomes, such as generating simulated clinical content for case authoring. AI features are not used for decision-making in real patient care.

AI Feature Tiers and Institutional Opt-In

All AI features in EdEHR are disabled by default and are enabled only through opt-in at the institution level.

Tier 1 — Simulated content generation (available now). Faculty-facing AI assistance for authoring simulated EHR content, such as simulated patient records and laboratory results. Tier 1 features operate only on simulated, non-personal educational content.

Tier 2 — Educator assistance involving student activity data (planned). Educator-facing AI assistance that would involve student activity data within the platform. Tier 2 features will be enabled only after advance notification to client institutions and a separate institutional opt-in specific to Tier 2. No Tier 2 feature is active as of the date of this policy.

In all tiers, educators review, edit, and approve AI-assisted outputs before they are used in teaching or learning activities.

Data Handling

By design, the only Personally Identifiable Information (PII) that EdEHR collects is the student's given and family names, provided through the institution's learning management system. EdEHR does not share PII with third parties or with AI systems.

When EdEHR builds Tier 2, it will automatically remove personal information (student given and family names) from the designated schema fields before any content is sent for external AI processing. Only simulated, non-personal educational content is transmitted for AI processing.

External AI processing is performed on a per-call basis: content submitted to the AI provider is used to generate a response, is not retained by the provider beyond processing, and is not used to train AI models, in accordance with the provider's commercial terms of service.

AI Service Providers and Data Residency

EdEHR uses external AI providers only where they meet the requirements of this policy: per-call processing, no retention of submitted content beyond processing, and contractual commitments that submitted content is not used for AI model training. As of the date of this policy, EdEHR's external AI provider is Anthropic.

AI processing may occur on infrastructure located outside Canada. Because only simulated, non-personal educational content is transmitted for AI processing, this does not affect the residency of platform data. All EdEHR platform data, including the limited personal information described above, remains hosted in Canada.

Transparency and Control

Educators retain full control to review, edit, or disable AI-generated content before it is used in teaching or learning activities.

Ethical and Educational Integrity

AI tools are designed to complement human teaching, grading, and evaluation rather than replace them.

EdEHR will take proactive steps to identify and reduce bias in AI-generated outputs, including designing prompts that reflect diverse populations, roles, and clinical contexts relevant to healthcare education.

EdEHR does not develop large language models (LLMs) and does not use EdEHR data for AI model training. EdEHR data is not incorporated into the training of AI models.

Implementation and Review

AI capabilities are introduced or expanded only if they fully comply with this policy.

This policy will be reviewed at least annually and more frequently as needed to reflect changes in technology, regulation, and institutional expectations.
